Diwali is two weeks away. You want to send one message to the customers whose numbers you have. You open WhatsApp, look at the empty box for a minute, and close it again.

Writing is the part of running a shop that quietly eats your evening. This lesson shows you which shop jobs AI does well, and the ones where it will cost you money.

The work it can take off your hands

An AI app is a machine for words. So it helps with the parts of your shop that are made of words.

  • Customer messages and offer wording.
  • Product descriptions for online or for a status update.
  • Payment reminders that stay polite.
  • The wording on a quotation or a bill.
  • A short sign for the shutter or the counter.
  • Turning your handwritten price list into a typed one.

That is a real list. It is also the whole list. The tool does not know your stock, your rates or your customers.

Be honest about the gain. Nobody has shown that AI raises a small shop’s income in India. There is no study proving it. What is true is that these jobs are made of text, trying costs nothing, and a bad draft costs nothing either.

Before you go further, it helps to know how to ask so you get a useful answer. A vague request gives a vague message.

One festival plan, turned into real work

Say you run a small grocery shop (kirana shop) in a village. The plan in your head is loose. Some offer on oil and dry fruit, and more clay lamps than last year.

Type it exactly like that, with your details in it.

I run a small kirana shop in a village in Uttar Pradesh.
Diwali is in two weeks.
I want an offer on mustard oil, dry fruit and clay lamps (diyas).
Write a WhatsApp message for my customers.
Simple English, under 40 words.
Leave every price blank as ____ so I fill it in myself.
Do not add any item I did not name.

A good answer looks like this.

Diwali offer at [shop name].
Mustard oil, 1 litre: Rs ____
Dry fruit box: Rs ____
Clay lamps, packet of 12: Rs ____
Offer runs till Diwali. Free delivery inside the village.
Call ____ and I will keep your order aside.

Now take the same plan further in the same chat.

Same shop, same festival. Make me two more things.
1. A price list for one printed page, with a blank price column.
2. A stock note: what I should count in my shop before I order.
Use only the three items I named. Add nothing else.

Both come back looking like this.

PRICE LIST. Diwali offer at [shop name].
Mustard oil, 1 litre .......... Rs ____
Dry fruit box ................. Rs ____
Clay lamps, packet of 12 ...... Rs ____

STOCK NOTE. Count these before you order.
Mustard oil: bottles left ____
Dry fruit boxes: boxes left ____
Clay lamps: packets left ____

Read both of these before you use them. Look for any rate it has filled in on its own. Take that rate out. The app does not know what you paid your wholesaler last week.

Then check that only your three items are there. If a fourth item has crept in, delete it. Copy the price list onto paper and write your own rates in the blank column with a pen. Count your shelf against the stock note on the evening before you order. Write each number down as you count it. Do not carry the count in your head to the wholesaler.

One loose plan has become a message, a price list and a stock note. You still fill in every price yourself.

If your customers read Hindi, write the whole request in Hindi instead. Do not mix Hindi and English inside one request, because mixed requests give weaker answers. There is more on this in using AI in Hindi.

Four more messages you will need

Change the details and these work for any shop.

A payment reminder that keeps the customer:

Write a short WhatsApp reminder to a regular customer
about money owed from last month.
He is a good customer and I want him to keep coming.
Be polite. Do not threaten him. Do not name the amount.
Under 30 words. Give me three versions.

New stock arriving:

Write a 25 word message. New school bags and notebooks
have come in before the new session. One line on price,
one line on timing. Simple English, no big words.

An apology for a delay:

A customer's order will reach three days late.
Write a short message that says sorry, gives the new date,
and offers one small thing to make up for it.
No excuses. Under 40 words.

A reply to an angry customer:

A customer sent me this message: [paste it here].
I have removed his name and number from it.
Write a reply that solves the problem.
Do not argue. Do not blame the customer.
Say what I will do and by when. Under 40 words.

Take the name and the phone number out of the message before you paste it. Write CUSTOMER in their place.

That last one matters most. Your job in a complaint reply is to fix the thing, not to win. Read the draft before sending, and cut any promise you cannot keep. The app will happily agree with whatever you say, which is why it agrees with you far too easily is worth reading.

Writing about what you sell

If you sell on a selling app, or just post on your status, the words do the work of a shopkeeper standing there.

I sell handmade cotton bedsheets, double bed size, six colours.
I make them at home in my village.
Write three descriptions, each under 50 words.
One for a WhatsApp status. One for an online selling app.
One for a small printed card I keep on the counter.
Do not invent anything about the cloth or the washing.

Now read what comes back with a hard eye. It may add lines you never said. Best quality. Colour will never fade. Hundred percent pure cotton. Delete every claim you cannot stand behind if a customer returns next week.

Ask for the Hindi version by writing the whole request again in Hindi. Then read it yourself before you post it.

Every number goes through your own calculator

AI is useful for the shape of a price calculation. It is not safe for the arithmetic.

Explain how to set the selling price for a packet
I buy from a wholesaler. Show the steps only.
Use cost price, transport, packing and profit.
Do not do any arithmetic. I will do the sums myself.

What comes back is a method, not an answer.

1. Cost price. What you paid the wholesaler for one packet.
2. Add the transport cost for one packet.
3. Add the packing cost for one packet.
4. These three added together are your real cost.
5. Add the profit you want on one packet.
6. That gives you your selling price.

The order of those steps is the useful part. It is easy to set a price from the wholesaler’s rate alone. Then you forget the transport and the packing, and your profit is thinner than you think. Working down the steps in order stops that.

The numbers, though, are yours alone. Your wholesaler’s rate is yours. So is your transport cost, your packing material and the profit you decide. The app has never seen any of them.

If a step does not fit your shop, drop it. Say you carry the stock home yourself and pay nothing for transport. Then that step is zero, and the method still works. Write the six steps in your notebook once. Then run every new packet through them with a calculator in your hand.

Asking for steps and no sums is deliberate. These models are not reliable at plain arithmetic, which is explained in why it gets sums wrong. A wrong margin repeated across a hundred packets is a real loss.

Tax rates are the same story. Never take a GST rate from a chat. Look it up on the government’s own site and check that the web address ends in gov.in.

A quotation works the same way. Say a customer wants twenty packets for a wedding and asks for your rate.

Write a short quotation for a customer.
He wants 20 packets for a wedding on the 14th.
Leave the rate and the total blank for me to fill in.
Add one line on how long my rate holds good,
and one line on delivery. Polite. Under 60 words.

You get clean wording with two holes in it. You put the rate and the total in yourself, after the calculator. The same split works for the wording on a bill.

Careful Every final number that leaves your shop must pass through your own calculator first. A price, a margin, a total on a bill, a discount. Type it in yourself and write it in your notebook.

A record book you keep yourself

Use AI to design your record, not to hold it. The chat is not a ledger, and it forgets, as you saw in why it forgets what you said.

I run a kirana shop. I want to write one line every day
in a notebook at closing time. Suggest six columns, no more.
Each column must be quick to fill in by hand.
Give one line saying why each column is there.

A simple daily row looks like this.

Six columns and a pen beat software you have to buy. If your phone has a free spreadsheet app, use the same six columns there.

One line a day sounds like nothing. After a month it tells you which weeks were slow and how much credit is sitting outside your shop. No app can tell you that, because no app has your numbers. You do.

Never type this A customer's phone number, address, UPI or bank details, or a photo of their ID. Write CUSTOMER instead and fill the real details in by hand. The full list is in [what you must never type into an AI](/learn/what-not-to-share-with-ai/).

What it does not know about your shop

It does not know your village. It has never seen your street, your rival’s rates, or which brand of oil your customers actually buy. It does not know that half your sales are on credit, or that the bus comes twice a day. Ask it whether an idea will work here and it will answer with confidence anyway.

So change the question. Never ask for the best idea. Ask for a few, each with its cost and its danger.

Give me three small ways to earn a little more from a village
kirana shop. For each one, write one line on what it costs me
and one line on the biggest risk.
Do not tell me which is best. You have not seen my village.

Three ideas with three risks is something you can think about. One confident recommendation is not. Take the three to somebody who has run a shop for ten years. They know your market. The chat does not.

Money is the place where a confident wrong answer costs the most. Keep the checking habit from the two-chat test and three other checks close by whenever an answer touches your cash.

Next comes the question everyone asks after this one. Can you earn money online with these tools, sitting where you are? That is earning online, honestly, and the answer has real parts and false parts.

Write one message you would really send this week

  1. Pick one message your shop actually needs now: an offer, a reminder, a new stock line or an apology.
  2. Write down who it goes to, what you want them to do, and how long it can be.
  3. Open the AI app and ask for three versions of that message, each under 40 words.
  4. Read all three out loud. Pick the shortest one that still says everything.
  5. Change the words that do not sound like you, and fix any price by hand.
  6. Send it to yourself first. Read it on your own phone screen before you send it to anyone else.

Remember this much

  • AI helps with the words of a shop, not the money of a shop.
  • Every final number goes through your own calculator, every time.
  • The chat designs your record columns. Your notebook holds the data.
  • Ask for three ideas with one risk each, never for the best idea.
  • Never type a customer's number, address or payment details into a chat.
  • It does not know your village, your customers or your rival's price.

Questions people ask

How can I use AI to write WhatsApp messages for my shop?

Tell it who the message is for, what you are offering, how long the message can be, and in which language. Ask for three versions instead of one. Then pick the shortest one that still says everything and change the words that do not sound like you.

Can AI keep my shop accounts and my udhaar khata?

No. A chat forgets, and there is no safe place inside it to store your daily figures. Use AI to design the columns of your record book, then write the numbers yourself in a notebook or a free spreadsheet. Your data stays with you.

Can AI tell me the wholesale price or my rival's price?

No. It has no live price feed and it has never seen your market. If it gives you a price, it is guessing, and it will sound sure while doing it. Ask your wholesaler, and walk past your rival's shop yourself.

Is it wrong to use AI to write my shop's messages?

No. You are writing your own offer in your own words, with help shaping the sentences. The one rule is that everything in the message must be true and something you can deliver. Delete any claim the AI added that you did not make.

Will using AI increase my shop's income?

Nobody has shown that it does. There is no study proving AI raises a small shop's earnings in India. What is true is that writing takes your time, these tools cost nothing to try, and a bad draft costs you nothing either.
