Read first: Writing a resume that is true
You are at the block office counter. The clerk looks up and says, give it in writing. You have a pen, a blank sheet and no idea what the first line should say.
That blank sheet is what this lesson removes. In about ten minutes you can hold a finished letter, in English and in Hindi.
The letters you actually need
In a whole year most people need only a few kinds of letter.
- A job application to a shop, a school or a company.
- A leave application to a teacher, a principal or a manager.
- A letter to the block office or the tehsil office.
- A letter to your bank branch.
- A school letter, such as a request for a transfer certificate.
- A complaint about work that was promised and not done.
Every one of these has a fixed shape. That shape is printed in guide books and copied online in thousands of places. AI is at its most reliable where a pattern is fixed and repeated. A letter is exactly that kind of pattern.
It is much weaker on anything that changes. Today’s fee, this month’s last date, this year’s rule. For those, ask the office, not the app.
Two of these letters are worth a closer look. A bank letter goes to your own branch, not to a head office far away. It asks for one change to your own account, such as a new mobile number. Write your name exactly as it appears in the account, and name the branch. Never put the account number in the chat. Leave XXXX there and fill the real number in by hand.
A school letter is usually a request for a paper you need, such as a transfer certificate. Give the school name, your class, and the years you studied there. Say exactly which paper you want and by which date you need it. If someone else must sign it, say so in your message. Then the letter leaves a line ready for that signature.
One rule before you start. Write your instructions fully in Hindi or fully in English. Do not mix the two in one message. Mixed language instructions have been measured to lower the quality of what comes back. The letter itself can still come in both languages. It is your instruction that should stay in one.
The six things your letter must contain
A letter fails when a piece is missing. Give the model all six pieces and it has nothing left to guess.
- Who I am. Name, age, village, block and district.
- Who it goes to. The post, not the person. The Branch Manager. The Block Development Officer.
- What I want. One line.
- What happened. The facts, with dates.
- What I am asking them to do. One clear action.
- The language. English, Hindi, or both.
This is the same slot method you used to build your resume. Fill the slots on paper first. Then type all of it as one message.
Write a formal letter for me.
Who I am: Rakesh Kumar, age 22, village Bela, block Mall, district Lucknow, Uttar Pradesh. I passed class 12 in 2024.
Who it goes to: The Manager, Sharma Traders, Mall market.
What I want: work as a helper in the shop.
What happened: I saw your notice pasted outside the shop on 2 August 2026.
What I am asking: please call me for a meeting.
Rules: under 150 words. Polite, short and factual. No praise, no big words.
Do not add any experience I did not give you.
Write it twice. First in simple English, then in simple Hindi.
That last rule is not optional. Without it the model may hand you two years of shop experience you never had. One long message like this works better than ten short ones, and it also saves your data. That is the same idea taught in how to ask so you get a useful answer.
Ask for English and Hindi in one go
You often do not know which language the counter will want. A private company may want English. A school or a block office may prefer Hindi. Asking for both in one message uses less data than asking twice, and you choose at the counter.
Choosing there is easier than it sounds. Look at the forms and the notices on the office wall. Whichever language they are printed in is the language that office works in every day. Hand over that version of your letter.
If both languages are on the wall, or you cannot tell, ask the clerk before you hand anything over. That one question costs you nothing. Carry both pages printed, and give the one they ask for. Keep the other page with you in case the file moves to a different desk.
A private company or a shop is a different case. If the notice you saw was in English, send the English letter. If you spoke to the owner in Hindi, the Hindi one fits better. Match the language the other side has already used with you.

Do not trust the Hindi blindly. Ask it to translate its own Hindi letter back into English, and see whether it still says what you meant. If the meaning has slipped, tell it the exact line that is wrong. More on writing well in Hindi is in using AI in Hindi.
Keep it polite, short and plain
An over-written letter is taken less seriously, not more. A clerk reads many letters a day. Long praise buries your request, so the reader has to hunt for what you actually want.
This is the weak opening most guide books teach.

Threats weaken a letter just as much. A line about going to the newspaper gives the office a reason to treat you as a problem. State the facts, the dates and one clear request. Keep this tone line in your notes and paste it into every letter.
Polite, short and factual. No praise of the officer. No threats.
Short sentences. Plain words a class 8 student can read.
A complaint, and the papers that go with it
A complaint is the letter people get wrong most often, because the letter alone is rarely enough.
A complaint carries four things and very little else. What happened, in plain words. The dates, in order, from the first day until today. Who you already told, and what they said or did not say. Then one clear request, written as one action you want the office to take.
That single request is the hard part. If you ask for four things at once, none of them is clearly yours to follow up on. Pick the one that matters most and give it its own line. Keep the other points in the letter as facts, not as extra demands.
Then keep a copy of everything you hand in, including the complaint itself. Photograph each page before you leave home. If the office keeps your original papers, that photo is the only record left in your hand.

I want to complain to the block office about the hand pump in my

panchayat twice and nothing happened.
First, list the papers that are usually attached to a complaint like
this in India.
Then write the complaint letter in simple English and simple Hindi.
Under 150 words. Polite and factual. No threats.
Now take that list and collect those papers yourself.
Ask the counter what proof of submission they give you. Write down whatever number or date they say, and keep it with your photographs. The same split between general rules and your own case is explained in understanding schemes, forms and offices.
Change one letter into the next
Once you have one letter that worked, never start from zero again. Copy it into your notes app and keep it. When you need the next letter, paste it into a fresh chat and ask for the change.

Keep the same short and polite style. English first, then Hindi.
The same letter becomes a bank letter asking the branch to update your mobile number. It becomes a school letter asking for a transfer certificate. It becomes a job application for a different shop. You keep the tone that already worked and change only the facts.
Notice what never changes when you do this. The address block at the top keeps the same shape every time. The subject line stays one short line that names the matter. The tone stays polite, short and factual. Those three are the skeleton of the letter, and you built them once.
What must change every time is small and easy to miss. The names, the post you are writing to, the dates, and the one thing you are asking for. Read those four out loud in the new letter before you send it. A leave application that still carries the old dates looks careless at the counter.
The subject line deserves one extra look. It should name the new matter, not the old one. If you turned a job application into a leave letter, the subject must change with it. A correct letter under a wrong subject line reads as a mistake before anyone reads the body.
Take a screenshot of the finished letter too. Then you never spend data asking for the same thing a second time.
Use a fresh chat for each new letter rather than one long chat. A long chat drifts and starts mixing up your old details, which is why one chat, one job is a good habit here.
Read it aloud before anyone sees it
The letter is not finished when the app stops typing. It is finished after four checks, and they take two minutes.
Read it aloud once. Your ear catches what your eye skips, and a sentence you stumble over will trip the reader too. Then check every fact against what you actually know. Then check every name, village name and date, letter by letter. Then look for anything you never said, because an invented qualification in a letter can end an application.
There is a fifth test that people forget. You must be able to explain every line at the counter, in your own words. If the letter says you worked two years in a shop, someone will ask you about that shop. Put nothing in a letter that you cannot talk about for one minute without preparing.
If you spoke your details instead of typing them, be extra careful. Voice typing gets names, village names and numbers wrong very often, especially in a noisy room. End your message with this line.
Now repeat back to me exactly what you understood, item by item,
before you write the letter.

- Pick a real letter you need: a job application, a leave application, a letter to an office, a bank letter, a school letter or a complaint.
- On paper, write the six slots: who I am, who it goes to, what I want, what happened with dates, what I am asking them to do, and the language.
- Open the app and type all six slots in one message, with the line: do not add anything I did not give you.
- In the same message, ask for the letter twice, once in simple English and once in simple Hindi.
- Replace any Aadhaar, account or card number with XXXX before you send the message.
- Read both versions aloud once. Fix every name, village name and date yourself.
- Ask it to translate its Hindi letter back into English, and check it still says what you meant.
- Copy the final letter into your notes app so you can change it into the next one.
Remember this much
- A letter has a fixed shape. That is where AI is at its best.
- Give it six things: who you are, who it goes to, what you want, what happened, what you are asking, and the language.

How long should a formal letter be?
Short. One page, and usually far less than one page. A letter of about 150 words that states the facts and one clear request is stronger than a long one full of praise.
What documents should I attach with a complaint letter?
Ask the AI which papers are usually attached to that kind of complaint, then collect those yourself. But confirm the real list at the office before you go, because only that office knows its own current rule. Carry a copy of everything you hand in.
